The Medical Records Assistant position within West Yorkshire Police’s Occupational Health Unit is a key role supporting the health, safety, and operational readiness of both officers and staff. It goes beyond standard administration, contributing directly to the Force’s health surveillance, medical coordination, and overall wellbeing activity.

A major part of the role is ensuring statutory health surveillance requirements are met. This includes managing recalls, monitoring compliance, and preparing quarterly health surveillance statistics for presentation at formal meetings. This work directly informs decisions that affect workforce safety and operational risk.

The role also plays an important part in managing the medical retirement process. This includes coordinating assessments, compiling required documentation, and working closely with internal stakeholders and external partners—such as Selected Medical Practitioners (SMPs), HR colleagues, and occupational health specialists—to ensure cases progress smoothly and in accordance with legislation and Force procedures.

In addition, the post provides vital administrative support to Medical Practitioners, handling diary management, appointment coordination, and organising recruitment medicals. The role involves regular contact with hospitals, GPs, consultants, physiotherapists, psychologists, and specialist medical providers, making it a highly collaborative and outward facing position.

Handling confidential and sensitive medical information is a daily responsibility, demanding integrity, discretion, and a solid understanding of data protection laws. The post holder also maintains and updates medical information systems such as Cohort to ensure accurate and efficient record keeping.

The ideal candidate will have strong administrative skills, attention to detail, confidence with Microsoft Office, and the ability to balance competing priorities in a busy environment. Experience in medical settings or audio typing is useful but not essential. Key attributes include professionalism, confidentiality, and a genuine commitment to supporting wellbeing.
